Printable feed stock record sheet
Record feed deliveries, withdrawals and checked balances in kilograms on a free A4 stock sheet. Keep each feed and batch identifiable. Reconcile physical stock with invoices and feeding records on this sheet; enter purchases and consumption in HerdMobile to keep the phone’s balance current.
Print at actual size on A4 paper; use fit-to-page in the printer preview if needed. Fill in the single-page sheet and keep it on your farm.
Fields on the sheet
- Date / feed / batch
- Opening kg
- Received kg
- Used kg
- Loss / adjustment kg (+/-)
- Closing kg
- Invoice / observer
Closing kg = opening kg + received kg - used kg + signed adjustment kg. Use one weight basis; explain every adjustment.
Which weight should I record?
Use kilograms of the feed as it is weighed and handled, including its water content. Do not mix dry matter kilograms with as-fed stock kilograms in one balance. Identify the feed and batch on each row or use a separate sheet per batch. If an invoice is in tonnes, convert the quantity to kilograms before entering it. For sacks and bales, use the actual unit weight and write the conversion in your source notes instead of assuming all items weigh the same.
How does the balance work?
Begin with the previous checked closing balance. Add received kilograms, subtract used kilograms, then add the signed adjustment. A loss is a negative adjustment; a correction that increases the balance is positive. For example, opening 500 kg plus a 200 kg delivery minus 80 kg used and a negative 5 kg loss gives 615 kg. Use the example to follow stock arithmetic, then enter the actual opening balance, deliveries, usage and losses from your records. Explain each adjustment so a colleague can reproduce the balance without relying on your memory.
What should I do when the store disagrees?
Check the physical quantity using a suitable measurement method and compare it with the row history. Look for a missing invoice, an unrecorded withdrawal, a wrong unit weight or a documented loss. Preserve the original entries and record a dated correction with the reason and observer. Do not increase a paper balance merely to make a feeding plan appear possible. Check the remaining quantity alongside batch condition and analysis, and keep quality concerns as a separate dated note.
How does this relate to app stock?
Keep the paper sheet beside the store, enter completed purchases and consumption through their matching HerdMobile forms, and compare the saved feed balance with your sheet. When more than one person handles feed, agree on who records each delivery and withdrawal to prevent omissions and duplicate entries. Keep invoices and feed analysis reports separately with a clear batch reference. Before changing feed quantities or replacing a ration ingredient, check that the new mix still meets the herd's nutritional needs rather than basing the change on stock availability alone.
