Record a general income or expense
Use General Income or General Expense for other business transactions; record milk sales, animal sales and feed purchases in their dedicated forms. Select the business first, enter a clear title and a positive amount, then verify the resulting finance entry. Keep this local money record with the receipt for the actual bank or cash transaction.
Choose the business and transaction type
Open Finance and check the business selector. Choose General Income for money coming into that business or General Expense for money going out. Use the dedicated milk sale, animal sale or feed purchase form to keep its quantities, stock and collection details linked. Check existing entries to avoid recording the same payment twice.
Describe the actual transaction
In Title, write a description you will recognize when checking the ledger, such as the purpose and the source receipt reference. Enter a short, clear title before saving the transaction. Keep the original dated receipt alongside the ledger entry, using the title to help you find the matching document later. Retain the original dated receipt separately rather than assuming those details have been stored automatically.
Enter a positive amount
Enter the transaction total in Amount using the separators accepted by your app language and the business currency. The selected income or expense action supplies the direction; do not use a negative number to mean an expense. If an unusual-number confirmation appears, compare the total, currency and decimal separator with the original receipt before proceeding.
Save and reconcile the ledger
Choose Save once and wait for the form to close. Check the new entry in the finance list, including its title, amount and direction. Income appears with a plus sign and expense with a minus sign. Compare the business summary with the expected change. If the result is uncertain, inspect the ledger before creating another entry or an assumed correction.
General entries do not settle sale balances
Record payments for outstanding milk or animal sales directly on the sale’s receivable card to update the remaining balance and linked income together. Entering a collection as General Income creates a separate income record and leaves the sale’s balance unchanged. Entering the payment both ways counts the income twice. Use the feed purchase and usage forms to update feed inventory. Record other farm costs under General Expense, keeping feed movements in their own stock records. Keep your source receipts and a current backup with your ledger entries so you can match each payment to its original document.
