Record a later payment against an existing sale
When a buyer pays an existing milk or animal sale, record the new collection against that sale. Enter only the additional amount received now; keep the original sale total and earlier collections in their existing records. It updates the sale’s paid amount, remaining balance and linked income without creating another sale.
Find the outstanding sale
Open Finance and verify the selected business. Find the outstanding Milk Sale by its buyer or the Live Sale by its animal’s ear tag. Compare the displayed remaining amount with your own payment record. Outstanding entries are shown when a balance remains; do not create a new sale merely because a fully collected one is absent from this list.
Open the collection action
Choose Paid amount on the intended outstanding sale. Check the balance and currency displayed in the sheet before entering anything. This sheet is for collection against the selected sale, not for changing the original liters, price or buyer. If the record is wrong, leave the sheet and resolve the identity of the sale first.
Enter only the new receipt
In Amount, enter the additional money actually received in this collection. Enter a positive payment up to the remaining balance, matching the amount received. For example, if 100 remains and you receive 30 now, enter 30, not the original sale total or the lifetime total collected. Check decimal separators and any unusual-number confirmation against your payment evidence.
Save and reconcile the balance
Choose Save once and compare the updated remaining amount with your source record. A partial collection changes the status to partial; full settlement marks it paid and completes the linked payment reminder when present. The phone notification is cancelled through a separate best-effort action. After full settlement, check that the card leaves the open receivables list and keep the payment recorded once.
Avoid recording the same receipt twice
The app updates the sale’s linked income to reflect the amount collected. Do not also enter a general income for the same receipt unless you have an independently justified different transaction. If an error makes the save result uncertain, inspect the sale and remaining balance before trying again. Keep the bank or cash receipt with the sale and compare the payment you entered against the amount actually received. Use this form for new received payments, checking the amount before saving and keeping earlier payments together with their original receipts.
